Funds
Register Funds – always start and end the day at $200
Bank Deposits – must be prepared at closing daily and must be audited weekly.
Petty Cash/Buying Fund - should be no less than $300 and no more $1500 and should be kept in safe at all times. The purpose of the petty cash is to provide a small change fund for the register and to provide cash for consignment payments or in-store purchases. If the petty cash amount falls below the $300 minimum management must be informed. Petty Cash fund must also be counted and logged nightly on Deposit Log. Discrepancies must be reported to management upon discovery.
Change orders should be purchased from the bank once per month at minimum. Ensure there are a sufficient amount of smaller bills and coins on hand at all times.
Storing funds
Register Funds ($200) stays in cash drawer over night.
Cash drawer keys should only be used when register is down and cash drawer is not opening.
Cash drawer keys should be stored discreetly and where all staff is aware of. The keys should always be kept in same place.
Petty Cash is kept locked in safe until needed.
Do not leave keys in safe.

Be sure to count change back to the customer
Cash should never be left on or around the cash register or counter.
Cash drawer should never be left unattended.
Cash found on the sales floor should be added to the petty cash

Credit Cards
Most major credit cards are accepted as a form of payment
If a customer’s card is declined, respectfully request another form of payment.
If the credit card is not reading you can manually enter credit card number directly from physical card.
We do not check for ID unless the customer has written instructions to do so on their card.
We do not accept credit card payments without the card present except for phone orders
Phone orders - to accept an order over the phone you must manually enter card and security code from back of card. You will also need to confirm the first and last name of the purchaser & billing address. Phone orders may not exceed $100 without approval from shop manager.
When the credit card system is down you can use a back up system (see manager for instructions as this may change)
It is possible to obtain a voice authorization over the phone with our payment processor - see Daily Operations Binder Shop Contacts page. You will need the shop’s Merchant ID number and the phone number is available. This process should only be used if all other options are unavailable.
Visa/Mastercard/Amex Prepaid Gift Cards
Prepaid gift cards sponsored by a major credit card are accepted as a form of payment.
Sometimes if the exact prepaid amount is not entered before swiping the card it might be declined if the purchase amount exceeds the prepaid amount on the card. It is best to communicate this to the customer prior to processing the card
Integrated Gift Cards
Integrated gift cards are plastic gift cards that are hosted by Givex.

Gift Certificates
We no longer issue non-integrated gift certificates, however they can still be redeemed as a valid form of payment.
Please confirm with management on the validity of the gift certificate if presented.
Redeeming a gift certificate as tender – Use the non-integrated Gift certificate button option to redeem a gift certificate for the amount written on the front of the card.
If the gift certificate amount exceeds the purchase amount, you may issue a new integrated Gift Card with the remaining balance to be used at a later time. You must purchase a new Gift Card in the value of the remaining balance and use the Non-Integrated gift certificate as tender.
If the remaining gift certificate balance is $10 or less you may issue cash for the remaining balance.
Expiration – gift certificates never expire.
Merchandise Credit
Gift Cards are to be used as merchandise credits if needed to process a return without issuing the same tender as found on the original receipt.

Personal Checks and Traveler’s Checks
We do not accept Personal Checks and Traveler’s Checks as forms of payment.
Split Payment
Customers do have the option to split payment between different tenders just input the amount desired before submitting each type of tender.
Return and Exchange Policy
We accept exchanges only of unworn items with tags attached within 14 days with receipt. The tender returned must be the same as the tender used on the original receipt.
We may accept a return if the product itself was faulty and defective or if we offered a poor representation of the product to the customer.
Clearance items are final sale as noted on the customer’s receipt
The policy is flexible to best meet the needs of the customer and to best protect our interests.
Sales associates are expected to use their best judgment in amending the policy to serve the customer and protecting the interest of the business.
Consignment items that are returned are returned to stock as the property of La Loupe Vintage unless they have not been paid for item. Check with management.

Lay-Away Policy (Not valid until Lay Away Agreements are ready for use)
Lay-Away is not recommended, however there are some exceptions to this policy at the manager/owner’s discretion. If a Lay-Away payment plan is agreed to, the following procedure must be followed.
A minimum of 20% of the total purchase price must be paid to start.
The customer has 30 days to complete the lay-away or the item will be returned to the sales floor and payments made will be forfeited.
Prior to expiration and forfeiture of payments the customer will be contacted and will be offered the option for a refund of payments.
The customer must sign the Lay-Away agreement prior to putting initial payment down.
Item must be bagged, clearly labeled and stored in the shop non-customer area safely.

After pay is an option now offered on our E-Commerce Website only.
